The purpose of this Request for Proposal is to engage an experienced supplier with a qualified and capable project team from the All of Government Document Storage, Digitisation and Destruction Services Panel to scan nearly 12,000 land use and subdivision consent physical records to ISO 13028 quality standards and Council specified requirements. Metadata from each physical file will need to be recorded on a template, attached to the digital records as a CSV and sent back to Waikato District Council via secure server in alignment with council security standards. The supplier will need to arrange for the scanned physical files to be sent to Crown Storage. The physical records are in varying states of quality. The main aim of the Records Digitisation Procurement is to preserve the quality and discoverability of records, increase council legal compliance with LGOIMAs and allow internal and external customers to access and understand decisions from legacy records.
