Overview

We are seeking proposals for the supply, implementation, and support of a new Instrument Tracking System as part of a future national solution for Te Whatu Ora. This RFP focuses initially on the deployment across Dunedin and Southland Hospitals, with the expectation that the chosen solution will be capable of scaling nationally to other regions over time.

This procurement is critical to ensuring safe, high-quality surgical care and compliance with national standards. The project will directly support the opening of the New Dunedin Hospital Outpatient Building in October 2026 by enabling real-time instrument traceability across multiple hospital sites.

We require a comprehensive solution that includes: -

Lot 1: Instrument Tracking Solution – software, hardware, professional services, and support to digitally track all reusable surgical instruments across Dunedin and Southland Hospitals. The solution must ensure real-time linkage to patients, integration with sterilisation equipment, delivery of robust reporting, and scalability for future national rollout.

Lot 2: Instrument Etching Solution – etching hardware, software, and services to mark instruments for individual tracking. Etching must commence early to meet the October 2026 operational deadline.
The solution must be high availability, meet Cat 1 application requirements, and be supported by 24/7 vendor support and a separate test environment. Installation, training, and change support are also in scope.

The tender for the Instrument Tracking and Etching Solution has been published to align with the construction and commissioning timelines for the New Dunedin Hospital Outpatient Building.
