The contract for the current venue booking management system, expires in February 2026. It has been in place since 2005 and is currently only used by the Venues and Events Department.

After a Council wide review of venue management use cases and needs, a total of four departments responsible for 85 locations across the district, were identified as potentially benefiting from access to a reliable and comprehensive venue booking management system.

This included:
Venues and Events – Large scale events (markets, multi-day events, concerts etc.), events on public land
Parks and Recreation – Cemeteries and memorial bookings, sports fields, beaches and parks
Libraries – Public meeting rooms
Māori Outcomes – Limited access meeting rooms

We are seeking a venue booking management system that meets the needs of multiple venue types in a streamlined manner. This includes supporting customers and staff through consistent workflows from making a booking request to signing contracts and providing feedback at the conclusion of the event.
