Overview

The Wellington City Council community facilities ecosystem contains 277 community facilities including 282 buildings (owned and leased by Wellington City Council) and 96 that are community owned or leased.

Wellington City Council is looking to engage a supplier to deliver an ‘out of the box’, existing (i.e. not requiring development/building) booking and information solution for use across a range of these community facilities.

The intent is for the solution to enable:

Visibility of the community facility network’s performance through data and analytics

Improved access to information about community facilities and a consistent booking experience for external users, contributing to an overall improvement in customer experience of engaging with community facilities, and

An efficient booking management experience for internal users.

We are seeking a solution to replace the various systems and manual processes for facility bookings across a range of community facilities identified that have spaces available to the public for booking. The initial scope of facilities for this procurement include:
• 3 libraries including Te Awe, a temporary site and Te Matapihi (a multi-tenant site made up of the Central Library, City Archives and Capital E and Waitohi).
• 6 WCC-run community centres

In the long term, the solution should have the ability to be extended to other community facilities, run by Council and external partners, including:
• 9 additional libraries
• 19 Partner-run community centres
• Leased facilities.
